Concerts Coordinator
£28,000 p/year
Concert Production:
Managing the Orchestra’s chamber music series & contemporary music
performances, with oversight from the Senior Concerts’ Manager
Responsible for the project management, or support, of some external hires, Digital, Learning & Engagement projects
Booking rehearsal halls & recording venues within the UK & making associated arrangements for logistics, artists & orchestral musicians
Assisting with budget preparation, collating & coding of invoices, MU consent forms
Providing concert support for own-promotions, engagements & special events
Drafting & monitoring contracts for artists, promoters & venues
Coordinating technical riders
Making travel & hotel bookings for artists
Schedule Coordination:
Managing the process of the Orchestra’s monthly schedule issuance
Preparing conductors’ & artists’ schedules
International Tours
Drawing-up travel & hotel lists & coordinating individual players’ travel
requirements
Liaising with hotels, agents & promoters to ensure the Orchestra’s logistical & accommodation requirements are met
Collating & drawing-up the Orchestra’s instrument loading list, preparing & applying for ATA Carnets, obtaining export licences
Negotiating & making hotel bookings for artists
Liaising with the stage and transport team regarding arrangements for the truck overseas, including parking & permits
Researching & obtaining visas, work permits & second passports for Artists & musicians in a timely manner
Assisting with applications for tax documentation & withholding tax certificates, including documentation from HMRC
Skills and Qualifications
Demonstrable passion for western classical music, & orchestras
At least 2-3 years’ experience working with orchestras
Eager to learn & develop new skills
Meticulous attention to detail
Self-motivated & a diligent worker
Good organisational skills & time management
