Publish a performance job on musicalchairs using the ATS.
The musicalchairs Application Tracking System (ATS) reduces paperwork and facilitates the pre-selection of candidates.
We also handle online video rounds, both pre-selection and also rounds one and two if required. There is no need to collect countless private YouTube links, or big file transfers on Dropbox - everything is processed on our servers and the videos are played direct on our site.
There is no extra charge for this service. Here's how it works.
Application
Candidates apply for the job through musicalchairs. They are asked to (optionally) submit a short cover letter and:
- Upload a One Page Resumé or
- Return an Application Form or
- Apply with an Online Portfolio. We recommend using the online portfolio for anonymity.
You can also, if required, ask them to:
- Upload audition videos
- Upload other documents e.g. passport scans.
- Answer some Yes/No questions.
Candidates will be required to submit the following information. Information marked with an asterisk (*) will be seen by the panel chair only, and not by the Panellists for privacy reasons.

Online Portfolio (optional)
The Online Portfolio can include the following questions – you choose which to include.
- Further & Higher education
- Membership of orchestras & ensembles
- Recent freelance work
- Apprenticeship schemes
- Recent solo & chamber music
- Masterclasses & courses attended
- Awards & competitions
- Outreach experience
- Referees
- Website & media
- Photo *
- Date of Birth *
Information marked with an asterisk * will be seen by the panel chair only, and not by the panellists for privacy reasons.
Assessment
Once the application closing date has passed, your panel assesses (online) all the applications and votes on who should be selected for audition.
As the panel chair, you evaluate the votes and comments from all your panel members, and decide whether to invite the candidate to audition, or to reject their application. You can add more panel chairs if required.
Optional features
musicalchairs ATS offers other optional facilities:
- Anonymous applications: applicants are assigned a number - only the panel chair knows the identity of each applicant. If the Audition Round is anonymous, any videos are "screened" so that panellists only hear the audio feed.
- Equal Opportunities Forms: these are anonymised and collected as a bundle for the panel chair.
- Audition scheduling: create your audition schedule online and assign candidates to timeslots
GDPR
musicalchairs is the Data Controller and takes primary responsibility for compliance. You, as panel chair, are Joint Data Controller, because you decide:
- elements of the personal and contact data to collect from candidates.
- which assessment data to collect from candidates (e.g. Cover Letter, CV, audition video etc).
- how the Candidate Data is assessed and processed as the application and audition procedure unfolds.
Please be aware of your GDPR responsibilities, and most importantly, please ensure that your panellists are aware of the importance and substance of GDPR compliance. Please take all steps possible to ensure Candidate Privacy. Thank you.

Privacy: Please ensure that your panel members always respect the Privacy of the Candidates. They must not share the applicant list, nor individual applicant data.
